A hospitality RFQ does not need to be complicated, but it should give the supplier enough information to compare suitable options.
Start with the intended use
Explain where and how the product will be used. Include the required quantity, size, material, colour, branding, target date, destination, and any brand standard or certification requirement.
Use references carefully
A photograph, model number, drawing, or existing sample can clarify the requirement. Mark which details must match and which details may be adjusted.
Confirm the quotation basis
Before approval, confirm specifications, unit of measure, lead time, packing, sample requirements, and delivery terms. This gives every stakeholder a clearer basis for the decision.
